Spartan Search: New Catalog and Discovery Migration

Catalog/Discovery Details:

Our current library Discovery Tool is our main search box on our home page. See the image below. The discovery tool searches our catalog and many of our databases. It does not search all of our databases

An image of the current online catalog image is below. Once we migrate to our new system, we will not have an online catalog like this one anymore. Instead, all catalog items will be discoverable in our main discovery system.

Below is an image of the current journal search page. This will change with the new system. It will be integrated with the discovery tool. You can see examples of other schools such as University of South Florida.

Below is an image of a permalink from within Spartan Search current journal search page. This will link will not work with the new system. If you used a permalink directly from the vendor page (such as EBSCO, Wiley, Access Medicine, etc.) these links will NOT change. The link will only changed if you copied from Spartan Search, which is shown in the example below.

This change will update our Spartan Search discovery tool, archives systems (DSpace, AracaSearch, and Omeka), and underlying management system to a more connected single platform system. It will not change your access to scholarly articles or databases such as EBSCO, JSTOR, etc.

We are migrating to Spartan Search, which is provided by the vendor Alma. During a lengthy review process, Spartan Search had all of the resources we needed including a catalog, discovery tool, archives, ability to integrate with Workday, ease of use, provided a next generation integrated library system, etc. Additionally, this system is used by all Florida public university libraries.

Getting Materials:

Below is an image of a permalink from within Spartan Search current journal search page. This will link will not work with the new system. If you used a permalink directly from the vendor page (such as EBSCO, Wiley, Access Medicine, etc.) these links will NOT change. The link will only changed if you copied from Spartan Search, which is shown in the example below.

The records of materials checked out will shift over to the new system. Circulation in the old system will function up to 10 August before the changeover on 16 August. Between August 10-16 the Circulation team will track items manually and then upload into the new catalog to reflect accurately books checked out and returned.

Library staff have been reaching out to faculty and students that currently have lost materials and have been working with these individual cases. Lost and overdue material information will transfer into the new system, but record of previously paid fines will not transfer. The Macdonald-Kelce Library staff will have access to the old system for a period of time to resolve questions after the migration.

Yes! The new system will add features including the ability to log into your library account, renew items online, and see what you have checked out.

Interlibrary loan will have a new form when the system launches. All other aspects of interlibrary loan will remain the same.

Timeline Questions:

In order to migrate, we will have a technical freeze where we cannot add new books to our catalog system. The freeze will be from 1 June through 15 August. During this time, we will not be able to catalog new books. Any request received during this time will need to wait until after the migration to be cataloged.

We are migrating over the summer to reduce the impact to students and faculty.

7 Augst Preview Spartan Search

We will have a preview of Spartan Search available starting 7 August. Please note, this will not be the full version. Some features may not be available. For instance, you will not be able to sign into your account. You can review the page and pull permalinks. If you have any questions, please contact the library.

While no NEW items can be added to the catalog between 1 June - 28 July, anything already in our holdings can still be added to course reserves. If the item is not in our collection and you want to add it to course reserves it will need to be done after our migration on 16 August.
